Privacy policy

United By Loss is a Charitable Incorporated Organisation registered in England and Wales, charity number 1219340. We are the data controller for the personal information described here.

Last updated 5 October 2026.

The short version

We collect as little as we can, we use it only for the thing you asked us to do, and we never sell it or share it for marketing. This website sets no cookies of its own and runs no analytics. The one exception is the donate page, which loads a donation form from JustGiving. There is more on that below.

Name tributes: we collect nothing

The tribute maker runs entirely inside your own browser. Your baby’s name, any date and any message you type are never sent to us or to anyone else, and the image is created on your own device. We do not store it, and we cannot see it.

Care package requests

If you ask for a care package we collect your name and delivery address, and an email address or phone number if you give us one, so that we can send it. We keep that information only as long as we need it to send the package and to keep a record that we did, and then we delete it.

We will not add you to a mailing list because you asked for a care package. If we ever want to email you about anything else, we will ask you separately and you can say no.

Contact form and email

If you contact us we keep your message and contact details so that we can reply and, where relevant, keep a record of what was said.

Peer support

If you use our peer support we may keep brief notes so that whoever you speak to next knows a little of your situation and you do not have to start again. Those notes are kept securely, seen only by the people who need them, and deleted when they are no longer needed. If you would rather we kept no notes at all, tell us and we will not.

Information about the loss of a baby is health information, which the law treats as needing extra protection. We only ever record it with your explicit consent, and you can withdraw that consent at any time.

Donations

Donations are processed by our donation provider, not by this website, and your card details never reach us. If you claim Gift Aid, HMRC requires us to keep a record of your name, address and declaration for six years.

Donations are handled by JustGiving. When you give, your name, email address, card details and any message you write are collected by them, not by us. We receive your name, the amount, and your Gift Aid declaration if you made one. Their privacy policy is at justgiving.com/info/privacy.

If you leave a message with your donation, JustGiving displays it publicly on the donation page. We have said so on the donate page as well, because it matters most to families giving in a baby’s name.

Cookies and analytics

This website sets no cookies of its own and uses no analytics, tracking or advertising tools. We do not know who visits, how many of you there are, or which pages you read. That is deliberate.

There is one exception. Our donate page loads a donation form from JustGiving, so that you can give without leaving the site. That form belongs to them, not to us, and it may set its own cookies while you are using it. It only loads on that one page, and never if you do not go there. Their privacy policy is at justgiving.com/info/privacy.

One thing happens automatically whenever any page loads, and you should know about it:

  • Our web host keeps standard server logs, which include your IP address, for security and to keep the site running.

Who else handles your information

We use a small number of companies to run the charity. They act on our instructions and cannot use your information for their own purposes:

  • SiteGround — hosts this website, on servers in London.
  • Microsoft — provides our email.
  • JustGiving — takes donations and claims Gift Aid on our behalf.

We do not sell your information, and we do not share it with anyone else unless the law requires us to, or unless we believe someone is at risk of serious harm.

Why we are allowed to hold it

The law requires us to tell you our lawful basis for each thing we do:

  • Care packages, and any notes from peer support — your consent. You can withdraw it at any time and we will delete what we hold.
  • Replying to you — our legitimate interest in answering people who contact us.
  • Gift Aid records — a legal obligation to HMRC.
  • Server and security logs — our legitimate interest in keeping the site safe and working.

Your rights

You can ask us what we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Write to us at nick@unitedbyloss.charity and we will respond within one month. It is free, and you do not have to give a reason.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or call them on 0303 123 1113.

Changes to this policy

If we change how we handle your information we will update this page and change the date at the top. If the change is significant we will say so plainly rather than quietly editing it.
